OneAdmin terms
Terms of Service

These Terms apply to OneAdmin's public website and platform workflows.
1. Using OneAdmin
These Terms apply when you access OneAdmin websites, public pages, support tools, accounts, site attendance workflows, project records, inspections, document tools, quotations, invoices, reports and related services.
If you use OneAdmin through an organisation, your access may also be governed by that organisation's policies, contract with OneAdmin, site rules and administrator permissions. If a signed agreement, order form or plan-specific term applies to your organisation, it prevails to the extent of any inconsistency with these website Terms.
2. Accounts And Authorised Users
- You must provide accurate account, profile, company and site information.
- You are responsible for keeping login details secure and not sharing accounts between people.
- Administrators are responsible for assigning appropriate roles, permissions, sites and module access.
- You must notify your administrator or OneAdmin support if you suspect unauthorised access.
3. Australian Consumer Law
Nothing in these Terms excludes, restricts or modifies any consumer guarantee, right or remedy that cannot be excluded, restricted or modified under the Australian Consumer Law or another applicable law.
If OneAdmin supplies services to a consumer or small business in circumstances where mandatory consumer guarantees apply, those guarantees continue to apply regardless of anything else in these Terms. For major failures with a service, applicable law may give customers rights to cancel and receive a refund for the unused portion or compensation for reduced value, and to compensation for other reasonably foreseeable loss or damage.
4. Acceptable Use
- Do not attempt to bypass check-in, geofence, identity, audit, billing, role or security controls.
- Do not upload malware, unlawful content, misleading records, abusive material or data you do not have authority to use.
- Do not overload, scrape, reverse engineer, probe or disrupt the service except as permitted by law or written agreement.
- Do not use OneAdmin to make false attendance, safety, payroll, invoice, tax or compliance records.
5. Customer Content And Records
You retain responsibility for the information, files, photos, notes, invoices, quotations, reports, receipts and other records you enter or upload. You must ensure you have the right to collect, upload, share and process that information in OneAdmin.
OneAdmin may process customer content to provide the service, support users, secure the platform, generate outputs, troubleshoot errors and comply with legal obligations.
6. Plans, Credits, Fees And Features
Some features may depend on account type, plan, role, enabled modules, credits, usage limits, beta availability or administrator approval. Feature availability may change as OneAdmin improves the product or adjusts security, billing and compliance requirements.
Paid plans, credits, subscriptions, renewals, taxes, payment timing, cancellation and refund terms should be set out on the relevant pricing page, checkout page, invoice, order form or written agreement. If a paid service fails to meet a non-excludable guarantee, your statutory rights remain available.
7. Support And Availability
We aim to keep OneAdmin reliable, but the service may be interrupted by maintenance, updates, internet issues, third-party providers, security incidents, customer configuration, device problems or events outside our control.
Support requests should include enough detail for us to understand the account, site, module, device, expected result and actual result.
8. Data Security, Backups And Data Loss
OneAdmin takes reasonable steps to protect information we hold and to operate the platform securely. However, no online service, device, network, integration, storage system or backup process can be guaranteed to be free from interruption, compromise, corruption, deletion or data loss.
Customers are responsible for managing authorised users, passwords, devices, administrator permissions, site settings, exports, downloaded reports, business records and any backups they need outside OneAdmin. You should not use OneAdmin as the only copy of information that your business, tax, payroll, safety, legal or client obligations require you to keep.
To the maximum extent permitted by law, you release OneAdmin from claims, losses and costs arising from data loss, unauthorised access, disclosure, corruption, deletion, delayed recovery or security incidents to the extent caused by your acts or omissions, shared or compromised credentials, incorrect permissions, insecure devices, unauthorised integrations, third-party services, internet or hosting outages, failure to export or keep independent records, or events outside OneAdmin's reasonable control.
This section does not exclude OneAdmin's obligations that cannot be excluded by law, including any obligation to take reasonable steps to protect personal information or to notify eligible data breaches where the Notifiable Data Breaches scheme applies.
9. Changes To The Service Or Terms
We may update the service to improve features, security, reliability, compliance, pricing, plans or module availability. Where a change materially reduces a paid service or materially changes these Terms, we will take reasonable steps to give affected customers notice, unless urgent security, legal or operational reasons require faster action.
If you do not agree to updated Terms, you should stop using the service and, where applicable, cancel according to the relevant plan or agreement. Continued use after the effective date of updated Terms means you accept them.
10. Intellectual Property
OneAdmin owns or licenses the service, software, designs, branding, documentation and platform technology. You may not copy, resell, sublicense, reverse engineer or create derivative services from OneAdmin except as permitted by law or written agreement.
11. Privacy
Our handling of personal information is described in the OneAdmin Privacy Notice. Organisations using OneAdmin are responsible for giving workers, visitors and customers any notices or consents required for their use of the platform.
12. Disclaimers And Liability
To the maximum extent permitted by law, OneAdmin does not promise that the service will be uninterrupted, error-free or suitable for every legal, safety, payroll, accounting or compliance requirement. Customers remain responsible for reviewing outputs, keeping appropriate records and meeting obligations that apply to their business.
To the maximum extent permitted by law, OneAdmin is not liable for indirect, incidental, special, consequential or punitive loss, or loss of profit, revenue, goodwill, opportunity, business interruption, anticipated savings, corruption of data or loss of data arising from use of the service. This limitation does not apply to liability that cannot lawfully be excluded or limited.
To the maximum extent permitted by law, OneAdmin's total aggregate liability for claims arising out of or relating to the service is limited to the amount paid to OneAdmin for the affected service in the 12 months before the event giving rise to the claim, or AUD $100 if no paid amount applies. This cap does not limit liability for fraud, wilful misconduct or any liability that cannot be capped by law.
13. Indemnity
You are responsible for losses, claims or costs caused by your misuse of OneAdmin, unlawful content, false records, breach of these Terms, infringement of someone else's rights or use of the service outside your authority. This responsibility applies only to the extent the loss, claim or cost was caused by your act or omission.
14. Suspension And Termination
We may suspend or restrict access where reasonably needed to protect the service, respond to non-payment, comply with law, investigate misuse, prevent harm, enforce these Terms or protect other users. Where practical and appropriate, we will give notice and an opportunity to fix the issue.
You may stop using OneAdmin at any time. Cancellation, export, retention and refund rights for paid accounts depend on the relevant plan, checkout terms, invoice, order form or written agreement, subject to rights that cannot be excluded by law.
15. Disputes And Governing Law
If a dispute arises, contact support@oneadmin.com.au first so we can try to resolve it quickly. These Terms are governed by the laws of New South Wales, Australia, unless a written agreement states otherwise or mandatory law requires another forum.
